What you will do

• Act as the first point of contact for newcomers and support their onboarding process.

• Coordinate and monitor work packages to ensure timely delivery.

• Track action items and proactively follow up on pending tasks.

• Support room planning and implementation using internal company tools.

• Manage business travel arrangements, including bookings and expense reporting.

• Coordinate time management records and overtime requests.

• Provide backup support for other department assistants when required.

• Organize workshops, including venue selection, logistics, catering, equipment, and transportation.

• Serve as the department contact person for Occupational Health & Safety topics.

• Coordinate mandatory and specialized training activities.

• Prepare and distribute monthly KPI reports and performance metrics.

What we’re looking for:

• Degree in Degree in Business Administration, Project Management, Office Management, Human Resources, or a related field.

• Previous experience in office coordination, project support, executive assistance, or administrative management.

• B2/C1 English Level – mandatory.

• B1/B2 German Level – mandatory.

• Applicants must hold citizenship of a European country.
